About The Role

The American Heart Association is seeking a highly organized and proactive Strategic Initiatives Coordinator for Clinical Studies. This full-time, benefits-eligible position offers the flexibility of a home-based work environment, with a preferred location within the eastern time zone. The role is grant-funded, with current funding expected to last approximately one year, with potential for extension based on project needs and funding availability. The Coordinator will play a vital role in supporting the Clinical Studies Team by managing administrative tasks and coordinating various project activities. This individual will serve as a key liaison among internal teams, external stakeholders, and volunteers, ensuring smooth communication and efficient project execution. The role demands a results-oriented mindset, strong project management skills, and the ability to work independently with minimal supervision. Qualifications

  • Bachelor’s degree in business administration, health administration, or a related field (preferred)
  • Minimum of three (3) years of experience in administrative support or relevant project coordination roles
  • Excellent written and verbal communication skills
  • Strong organizational and process management abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with database management and software applications
  • Knowledge of business English, spelling, grammar, and punctuation
  • Ability to work independently and collaboratively within a team environment
  • Exceptional time management skills with the ability to prioritize multiple tasks
  • Strong problem-solving and customer service skills
  • Experience in health-related fields is preferred
  • Ability to travel up to 10%, including overnight stays

Responsibilities

  • Provide comprehensive administrative support to the Clinical Studies Team and supervisor, including calendar management, scheduling, and meeting logistics
  • Plan, organize, and coordinate all aspects of meetings, including virtual and in-person sessions, preparing agendas, materials, and taking minutes
  • Manage communication channels for internal and external stakeholders, ensuring professionalism and clarity in messaging
  • Serve as the primary point of contact for meeting inquiries, prioritizing requests and ensuring timely follow-up
  • Coordinate logistics for meetings, conferences, and high-level volunteer groups, including booking venues and arranging technology
  • Maintain and organize project files, records, and documentation to ensure accessibility and compliance
  • Prepare background materials, briefing notes, and presentations to facilitate effective meetings
  • Support on-site event logistics, including conferences and stakeholder engagements
  • Track project progress using project management tools, monitor deadlines, and escalate issues proactively
  • Coordinate and manage communication with key stakeholders, ensuring timely responses and updates
  • Generate and distribute status reports to project teams and leadership, maintaining transparency on progress
  • Assist in creating and maintaining resource tracking tools, contact lists, and workflow documents
  • Identify opportunities to improve administrative and project processes for enhanced efficiency
  • Collaborate with Marketing and Communications teams to promote initiatives and resources effectively
  • Manage competing priorities and deadlines, providing recommendations to optimize workflow
