We are looking for an Artist Operations Coordinator to work directly alongside management and help keep every aspect of a fast-growing artist project moving.

This role is ideal for someone who genuinely enjoys organization, systems, and bringing structure to fast-moving creative environments. You should be comfortable wearing many hats and jumping between administrative work, project management, communication, and operational support.

The right person is highly reliable, exceptionally detail-oriented, proactive, and genuinely enjoys building order out of chaos. This role involves a significant amount of computer work, recurring tasks, organization, and keeping tabs on many moving pieces simultaneously.

Responsibilities

  • Work directly alongside management to support day-to-day operations across all aspects of the project
  • Track and oversee multiple ongoing projects, ensuring tasks are completed and deadlines are met
  • Maintain project management systems and keep workflows organized and up to date
  • Build and manage databases, contact directories, and organizational systems
  • Organize large quantities of digital assets, files, and content across Google Drive
  • Maintain folder structures, permissions, and access controls
  • Compile research, lists, and information as needed
  • Coordinate with vendors, creatives, and team members via email and messaging
  • Assist with invoicing and light bookkeeping, including tracking payments and maintaining organized records
  • Anticipate operational needs and proactively identify ways to improve systems and processes
  • Help ensure that nothing falls through the cracks across the various moving parts of the project

Requirements

  • Prior experience working in music, entertainment, or artist management environments preferred
  • Strong understanding of how artist projects and the music industry operate
  • Extremely reliable and detail-oriented
  • Highly organized and comfortable with repetitive, process-driven work
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and maintain organization in a fast-paced environment
  • Proactive, resourceful, and comfortable figuring things out independently
  • High degree of professionalism and discretion when handling confidential information

Technical Skills

Required

  • Extensive proficiency with ClickUp or another advanced project management platform. We are looking for someone who can build workflows, databases, and organizational systems from scratch, not simply use existing ones.
  • Advanced proficiency with Google Drive organization and file management, with an almost obsessive attention to accessibility, structure, and security
  • Experience with invoicing and light bookkeeping

Nice to Have

  • Experience with 1Password
  • Experience with Disco.ac
  • Familiarity with music release workflows, live events, creative productions, and project coordination

Position Details

  • Part-time contract role, approximately 10-20 hours per week
  • Hybrid and highly flexible schedule, with some remote work and some in-person work as needed
  • Significant opportunity for growth into a full-time position as the project continues to expand
  • Compensation will be discussed based on experience
