Role Description: The Assistant Experiential Producer is a full-time, on-site role based in Long Island City, NY. This role supports the planning, coordination, and execution of experiential marketing projects and live events from pre-production through wrap. This role will be a balance of Account Management and Production as we are a small team. We are in person daily and often travel for events.
Salary Range: Based on experience $60-75,000 Annual. 401K. Direct Health Care Compensation. Time Off and minor benefits along the way.
Day-to-day responsibilities include:
- Assisting with timelines and production schedules
- Vendor sourcing and coordination,
- Helping manage budgets and purchase orders, and maintaining project documentation and tracking.
- The role also involves on-site support during installs, show days, and strike, including supervising load-in/load-out, assisting with client and talent coordination, and troubleshooting production needs in real time.
- The Assistant Experiential Producer will collaborate closely with producers, designers, and technical teams, participate in internal status meetings, and help ensure that every deliverable meets quality, safety, and brand standards.
- Organizing is essential, both in the office, on site and online.
Qualifications
- Experience supporting live events, experiential marketing, or production projects, with an understanding of timelines, workflows, and on-site execution.
- Strong organizational and project coordination skills, including the ability to manage multiple tasks, track details, and meet deadlines in a fast-paced environment.
- Effective communication and collaboration skills for working with internal teams, vendors, venues, and clients in a professional and respectful manner.
- Comfort with basic budgeting, invoicing, and administrative tasks, including working with spreadsheets and project management tools.
- Ability to work on-site in Queens, NY, and flexibility to support evening, weekend, and extended hours as required by event schedules.
- Hands-on, problem-solving mindset with the ability to stay calm under pressure and adapt quickly to changing priorities on-site.
- Ability to source and creatively solve problems, knowing a network of artisans, or just familiarity with being on calls and eliciting the correct information is key.
- Proficiency with common office software (e.g., Google Workspace or Microsoft Office); familiarity with schedules, call sheets, and email etiquette a plus.
- Previous experience in experiential, events, marketing, or related creative fields is preferred; a relevant degree or equivalent practical experience is beneficial.
- Commitment to maintaining a safe, inclusive, and non-discriminatory work environment for all team members, partners, and participants.
- Passport, driver's license and working papers are needed.
