We are seeking a highly organized, detail-oriented Sales & Events Coordinator to join our growing team and help deliver exceptional experiences for our guests and clients.

Job Summary
The Sales & Events Coordinator plays a vital role in supporting both the sales and event planning process. This position is responsible for coordinating event details, maintaining client relationships, preparing event documentation, and partnering with multiple departments to ensure seamless execution of weddings, corporate retreats, wellness retreats, social gatherings, and private events.

Responsibilities

Sales Support

  • Assist in managing inquiries and responding to prospective clients in a timely and professional manner.
  • Prepare proposals, contracts, invoices, and other booking documentation.
  • Maintain lead tracking, calendars, CRM systems, and sales records.
  • Conduct site tours and assist with client meetings.
  • Support the sales process for weddings, corporate retreats, wellness retreats, buyouts, and special events.
  • Collaborate with leadership and marketing teams to promote event offerings and seasonal experiences.

Event Planning & Coordination

  • Support all phases of event planning from initial inquiry through event completion.
  • Serve as a primary point of contact for clients during the planning process.
  • Coordinate event logistics including timelines, layouts, rooming lists, transportation, vendor coordination, and guest experience details.
  • Assist with menu planning, beverage selections, dietary accommodations, and food & beverage logistics.
  • Ensure all event details are accurately communicated to operational teams.

Banquet Event Orders (BEOs) & Administrative Management

  • Create, update, and distribute detailed Banquet Event Orders (BEOs).
  • Maintain accurate event information within TripleSeat and other event management systems.
  • Track planning milestones, deposits, guest counts, and event deadlines.
  • Prepare internal planning documents and communicate event details to culinary, banquet, housekeeping, spa, guest services, and operations teams.
  • Ensure all event documentation remains accurate and up to date throughout the planning process.

Client & Vendor Relations

  • Build strong relationships with clients, wedding planners, vendors, and partners.
  • Coordinate with florists, photographers, entertainment providers, transportation companies, rental vendors, and other event professionals.
  • Provide exceptional customer service while maintaining a polished and professional presence.
  • Conduct post-event follow-up and assist with client feedback collection.

Event Day Support

  • Conduct pre-event walkthroughs and setup verification.
  • Welcome clients, vendors, and planners as needed.
  • Assist with event logistics and troubleshooting throughout the event.
  • Partner with operational teams to ensure successful execution and an exceptional guest experience.
  • Support select evening and weekend events as business needs require.

Qualifications

  • 2+ years of experience in hospitality, event planning, catering, hotel sales, conference services, or a related field preferred.
  • Experience with boutique hotels, luxury resorts, event venues, retreat centers, or wedding venues strongly preferred.
  • Experience creating and managing Banquet Event Orders (BEOs) preferred.
  • Experience with TripleSeat, Delphi, or similar event management software preferred.
  • Strong organizational and multitasking abilities with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Workspace and Microsoft Office.
  • Ability to manage multiple events simultaneously while meeting deadlines.
  • Ability to remain professional, organized, and solution-oriented in a fast-paced environment.
  • Availability to work occasional evenings, weekends, and holidays based on event schedules.

Schedule

  • Full-time
  • Monday–Friday
  • Weekends and evenings as needed for events

Work Location

Pay: From $21.00 per hour
