Church Secretary (Part-Time)
Position Summary
The Church Secretary serves as the primary administrator of the church office and is often the first point of contact for members, visitors, and the community. This position requires excellent organizational skills, strong communication abilities, attention to detail, and the ability to maintain confidentiality while supporting the ministries and daily operations of the church.
Schedule
- Part-time position
- Office hours: Monday–Thursday, 8:30 a.m. – 1:00 p.m.
- Church office is closed on Fridays
- Some schedule flexibility may be available as needed
Compensation
- Hourly rate: $15.00–$25.00 per hour, based on qualifications and experience
Primary Responsibilities
Office Administration
- Manage the day-to-day operations of the church office
- Welcome and assist visitors, members, vendors, contractors, and other guests
- Answer and direct incoming telephone calls
- Receive and process mail, packages, and deliveries
- Attend weekly staff meetings
- Coordinate and manage office workflow and communications
Records and Reporting
- Maintain church membership and attendance records
- Prepare and submit monthly Discipleship Reports to the District Office
- Assist with the preparation and completion of Charge Conference reports and booklets
- Maintain the church’s master calendar and scheduling system
Communications
- Coordinate and distribute church communications, including print and electronic communications
- Assist with newsletters, announcements, bulletins, email communications, and other informational materials. Website and marketing skills are a plus.
- Serve as the coordinator for various church registrations and sign-ups, including, but not limited to:
- Fellowship meals
- Easter Lily orders
- Christmas Poinsettia orders
- Vacation Bible School (VBS)
- Other church events and ministry activities
Facilities and Technology
- Coordinate building usage and scheduling with outside groups and organizations
- Monitor office equipment and arrange maintenance or repairs as needed
- Maintain an inventory of office and worship supplies and place orders when necessary
- Assist in maintaining church computer hardware and software systems and coordinate technical support when needed
Qualifications
- Strong organizational and time-management skills
- Ability to manage multiple tasks and priorities simultaneously
- Excellent verbal and written communication skills
- Strong interpersonal skills and a welcoming, professional demeanor
- Proficiency with common office software and technology
- Ability to work independently and responsibly
- Attention to detail and accuracy in record keeping
Confidentiality
This position requires the highest level of discretion and confidentiality. The Church Secretary will be entrusted with sensitive information related to church operations, staff, members, communications, financial matters, and pastoral concerns. Maintaining confidentiality is an essential requirement of the position.
Additional Requirements
- Applications will be accepted from individuals outside the church membership.
- The position shall be filled by a person who is not currently a member of CPMC.
- Applicant must be willing to profess their faith in God and abide by the Global Methodist Book of Doctrines.
Pay: $15.00 – $25.00 per hour
