About The Role
The Customer Service Specialist within the North America headquarters in Indianapolis, IN will play a vital role in delivering exceptional customer support and ensuring smooth order processing operations. This position involves working closely with various internal teams and external customers to facilitate efficient handling of orders for medical supplies and equipment. The specialist will serve as a primary point of contact for customer inquiries, manage high-volume transactions, and maintain accurate records within internal systems. The role demands a detail-oriented approach, excellent communication skills, and the ability to prioritize tasks effectively in a dynamic, regulated environment. The successful candidate will contribute to fostering an engaged, high-performing culture aligned with Nanosonics' commitment to quality and customer satisfaction.
Qualifications
High School diploma or GED required. Previous experience in customer service, order processing, or a related administrative role is preferred. Familiarity with order management systems such as Microsoft Dynamics 365 (D365) or similar platforms is advantageous. Strong organizational skills, attention to detail, and the ability to multitask effectively are essential. Candidates should possess excellent communication skills, both written and verbal, and demonstrate a proactive approach to resolving issues. Knowledge of the medical device industry or regulated environments is a plus but not mandatory.
Responsibilities
- Process high volumes of customer orders for consumable medical supplies and capital equipment with accuracy and efficiency.
- Review and validate purchase orders to ensure correct pricing, product configurations, contract compliance, and shipping details.
- Enter and manage orders within Microsoft Dynamics 365 (D365) and other relevant internal systems.
- Manage and monitor Electronic Data Interchange (EDI) order transactions and GHX workflows, ensuring successful processing and resolving errors or exceptions promptly.
- Coordinate with manufacturing, supply chain, logistics, sales, and finance teams to facilitate timely order fulfillment and delivery.
- Proactively communicate order status updates, delays, or backorders to customers and internal stakeholders, maintaining transparency and trust.
- Investigate and resolve order discrepancies, pricing questions, shipment issues, and customer concerns efficiently.
- Serve as a primary contact for inbound customer inquiries via calls, emails, and system requests, providing professional and timely support.
- Maintain detailed documentation of customer interactions and transactions within the customer service platform.
- Assist customers with navigating the company website, managing account access, and troubleshooting login issues.
- Support new customer account setup and ongoing account maintenance within internal systems.
- Ensure accurate customer records, shipping information, and account data are maintained at all times.
- Provide administrative support related to order documentation, contract verification, and reporting activities.
