About the Role

The Data Entry Clerk plays a vital role in supporting daily business operations by ensuring the accurate entry, tracking, and management of service-related information. This position serves as an important link between clients, vendors, technicians, and internal departments by maintaining accurate records and facilitating efficient communication. The successful candidate will be responsible for updating work orders, monitoring service progress, entering approvals, and supporting billing documentation. This role is ideal for individuals with strong administrative and customer service skills who enjoy working in a detail-oriented, process-driven environment and contributing to overall operational success.

Responsibilities

  • Perform accurate and timely data entry for service-related records.
  • Update work order statuses and maintain current service information.
  • Track and record estimated arrival times (ETAs) and service updates.
  • Enter customer quote approvals into company systems.
  • Monitor order progress and ensure information accuracy.
  • Assist with billing documentation and administrative support tasks.
  • Maintain accurate records and documentation for operational processes.
  • Coordinate information between clients, vendors, and internal departments.
  • Support operational efficiency through effective data management.
  • Ensure compliance with company procedures and documentation standards.
  • Respond to administrative requests and provide support to various teams as needed.

Qualifications

  • Previous experience in a customer service, administrative, or customer service representative (CSR) role.
  • Strong attention to detail and accuracy in data entry tasks.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to work effectively in a fully onsite environment.
  • Strong problem-solving and time-management skills.
  • HVAC industry experience preferred but not required.
  • Experience with Sampro or similar service management systems is a plus.
  • Ability to work collaboratively with internal teams and external stakeholders.
