Role Description
This is a part-time, hybrid Event Specialist role based in the San Francisco Bay Area, with a mix of onsite and work-from-home days. The Event Specialist plans, coordinates, and executes events that showcase Rice Rocket’s creators, projects, and technology-driven initiatives. Responsibilities include managing event timelines, budgets, and logistics; coordinating venues, vendors, and technical requirements; and ensuring brand consistency across all event experiences. The role involves collaborating with marketing and sales teams to design event campaigns, drive attendance, and support community and investor engagement. Daily tasks also include handling guest communications, tracking RSVPs, providing on-site support, gathering post-event feedback, and generating reports to improve future events.
Qualifications
- Strong event planning skills, including experience with event logistics, vendor coordination, and on-site execution (Event Planning).
- Ability to market events across digital and traditional channels, with experience in promoting attendance and engagement (Event Marketing, basic Sales support).
- Proven ability to deliver excellent attendee experiences, respond to inquiries, and manage issues with professionalism (Customer Service).
- Effective verbal and written communication skills for cross-functional collaboration, vendor negotiations, and stakeholder updates (Communication).
- Comfort supporting event-driven revenue and partnership opportunities, including lead capture and follow-up at events (Sales).
- Experience with technology- or media-related events, entertainment, or startup environments is preferred.
- Strong organizational skills, attention to detail, and the ability to manage multiple events and deadlines simultaneously.
- Proficiency with common office and event tools (e.g., spreadsheets, presentation software, event platforms, CRM or registration tools).
- Ability to work flexible hours, including occasional evenings and weekends for events in the San Francisco Bay Area.
- Relevant education or equivalent experience in event management, marketing, communications, or a related field.
