About The Role

The Executive Admin at Nestl Health Science plays a vital role in supporting the Vice Presidents of Supply Chain and Technical & Production. This position requires providing proactive, high-quality administrative support to ensure the seamless operation of executive functions. The role involves managing complex calendars, coordinating meetings and travel arrangements, preparing professional materials, and handling confidential information with discretion. The Executive Admin acts as a key liaison between senior leadership, internal teams, and external partners, facilitating communication and ensuring that leadership priorities are effectively managed and executed. This position offers flexibility to work remotely or in a hybrid setting, with a preference for candidates located within a commutable distance to the Bridgewater, NJ headquarters. The successful candidate will demonstrate exceptional organizational skills, professionalism, and the ability to anticipate needs in a fast-paced environment.

Qualifications

  • High school diploma or equivalent required; advanced degree strongly preferred
  • Minimum of 5+ years of executive or senior administrative support experience, preferably supporting multiple C-suite leaders
  • Proven experience managing complex calendars, meetings, travel, and confidential information
  • Experience coordinating cross-functional teams and balancing multiple priorities
  • Proficiency with Microsoft Office Suite and virtual meeting platforms
  • Experience with Concur Online Travel & Expenses and SAP is a plus
  • Strong organizational, prioritization, and time management skills
  • Excellent written and verbal communication abilities
  • High level of professionalism, discretion, and sound judgment
  • Ability to anticipate needs, solve problems proactively, and support multiple leaders with accuracy and flexibility

Responsibilities

  • Manage complex calendars, appointments, and scheduling priorities for multiple senior leaders
  • Coordinate internal and external meetings, including preparing agendas, logistics, materials, and follow-up actions
  • Arrange detailed travel itineraries, accommodations, transportation, and expense documentation for leadership travel
  • Prepare, edit, and organize presentations, reports, correspondence, and leadership materials with professionalism
  • Monitor and prioritize incoming requests, communications, and issues to support efficient decision-making
  • Serve as a liaison with senior leaders, team members, and external partners, maintaining confidentiality and professionalism
  • Track action items, deadlines, and follow-ups to ensure timely completion of leadership priorities
  • Support meeting preparation through document gathering, briefing, note-taking, and post-meeting follow-up
  • Handle confidential information with discretion, judgment, and integrity
  • Continuously improve administrative processes, organizational systems, and support practices to enhance efficiency
  • Assist with additional duties as needed across the Holistic Health Leadership Team
