Job Description:
The Executive Assistant will serve as a trusted partner to one or more Business Unit Executives, helping leaders stay organized, prepared, and focused on key priorities while also supporting daily office operations. This role is well suited for someone who thrives in a fast-paced environment, anticipates needs, communicates with professionalism, and takes pride in creating a seamless experience for executives, employees, visitors, and external partners.
This is a hybrid role requiring at least three days per week in the West Palm Beach office, with the possibility of additional in-office days as business needs require.
Responsibilities:
- Serve as a primary point of contact for executives, employees, visitors, and external partners, ensuring calls, messages, and requests are handled with professionalism and routed appropriately.
- Manage complex executive calendars, including meetings, appointments, travel, conferences, and schedule changes, while helping leaders prioritize their time effectively.
- Coordinate travel arrangements, meeting logistics, expense reporting, scanning, copying, and other executive support needs with accuracy and attention to detail.
- Coordinate in-office meetings as needed, including room setup, meeting materials, visitor logistics, and other on-site support to ensure a smooth experience.
- Provide administrative and clerical support to employees within the business unit, demonstrating strong follow-through and helping remove operational roadblocks.
Qualifications:
- 3–5 years of administrative support experience supporting senior leaders or C-Suite executives.
- Intermediate proficiency with Microsoft Office products and the ability to quickly learn new tools, systems, and processes.
- Strong judgment, problem-solving skills, and the ability to prioritize competing requests in a fast-paced environment.
- Proven ability to manage multiple tasks and projects through completion with strong follow-up and attention to detail.
- Customer-service mindset with a professional, approachable, and proactive communication style.
- Excellent interpersonal, written, and verbal communication skills, with the confidence to interact effectively with executives and cross-functional teams.
- High level of discretion, reliability, and urgency when handling sensitive information and time-critical requests.
