Executive Assistant / Operations Coordinator (Construction) Jobs in Yelm, WA at Gallardo Homes
Position Overview:
This is not a traditional assistant role. We are looking for someone who can take ownership of day-to-day coordination, manage communication, and ensure nothing falls through the cracks. You will act as the operational right hand to the CEO.
Key Responsibilities:
- Manage and optimize the CEO’s calendar, schedule, and priorities
- Serve as a central point of communication between the CEO, team, vendors, and clients
- Track tasks, projects, and follow-ups to ensure execution
- Coordinate with subcontractors, vendors, and internal team members
- Help maintain and update Buildertrend for project tracking (operational use, not accounting)
- Organize documents, contracts, and project information
- Anticipate needs and proactively solve problems before they escalate
What Success Looks Like:
- The CEO is no longer the bottleneck for communication or coordination
- Tasks and projects move forward without constant follow-up
- Schedules are organized, and priorities are clear
- Nothing important falls through the cracks
Qualifications:
- 2+ years experience in an Executive Assistant, Operations, or Coordinator role
- Strong organizational and multitasking skills
- Excellent communication and follow-up skills
- Proactive and assertive mindset (not just task-taking)
- Comfortable working in a fast-paced environment
Preferred (but not required):
- Experience in construction or working with contractors
- Familiarity with Buildertrend or similar project management tools
Important Note:
This role is focused on operations and coordination. Accounting and bookkeeping responsibilities are handled separately, but you may assist in organizing documentation and preparing information for the accounting team.
