About The Role

We are seeking a highly organized and proactive Executive Assistant (EA) to support the President of Pharmacy Automation (RxA) at our Durham, NC location. This pivotal role involves managing complex administrative tasks and serving as the primary liaison between senior leadership, internal teams, and external stakeholders. The ideal candidate will demonstrate exceptional professionalism, discretion, and the ability to work independently under tight deadlines. The EA will handle a diverse range of responsibilities, including calendar management, travel coordination, meeting arrangements, and preparation of presentations and reports. This role offers an exciting opportunity to be at the heart of our organization, supporting high-level executives and contributing to the success of our Pharmacy Automation division. The position requires someone who can prioritize effectively, handle multiple tasks simultaneously, and maintain confidentiality at all times.

Qualifications

  • High school diploma or GED required; college degree preferred.
  • Minimum of 5 years of experience supporting a President, EVP, or C-suite executive.
  • Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Copilot), including designing complex documents and presentations.
  • Experience with calendar management, travel booking, and expense reporting platforms such as Concur.
  • Strong organizational skills with the ability to handle multiple priorities in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Demonstrated ability to maintain confidentiality and exercise discretion in sensitive matters.
  • Ability to work independently with minimal supervision and adapt to changing priorities.
  • Experience with Docusign or similar electronic signature platforms is preferred.

Responsibilities

  • Provide comprehensive administrative support to the President of Pharmacy Automation, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Handle all administrative aspects of meetings, including booking rooms, arranging catering, and ensuring necessary equipment is available.
  • Prepare and edit correspondence, reports, agendas, and presentations to support organizational objectives.
  • Assist in organizing leadership meetings, town halls, training sessions, and off-site events.
  • Act as a liaison to internal management teams and external partners, facilitating effective communication and coordination.
  • Manage incoming requests, screen calls, take messages, and respond to inquiries professionally and promptly.
  • Draft internal and external correspondence and ensure timely distribution.
  • Welcome guests, greet visitors, and handle inquiries with professionalism and discretion.
  • Maintain confidentiality of sensitive information and exercise sound judgment in all activities.
  • Support special projects and initiatives as assigned, contributing to the overall efficiency of the executive team.
