Ladder 17 Marketing Consulting is a boutique marketing consultancy based in Durham, North Carolina, specializing in marketing and communications strategy for FoodTech, AgTech, and Tech clients. We work closely with founders and leadership teams to help growth companies tell their story clearly and credibly. 

Position Overview: As we grow, we are seeking a detailed and action-oriented Office Administrator to join our team in a part-time role. The ideal candidate will support the CEO with calendar and inbox management, vendor and contract administration, and light bookkeeping. The Office Administrator will help keep our day-to-day operations running smoothly and will be essential to helping our team to deliver high quality strategies and experiences to our clients.

Status: Part-time, 15-20 Hours Per Week

Location: Remote; Raleigh-Durham, NC area a plus

Job Responsibilities:

Calendar & Inbox Management

·      Manage and prioritize the founder’s calendar, scheduling client calls and internal meetings

·      Triage and respond to routine email correspondence; flag time-sensitive items

·      Coordinate meeting logistics (video links, agendas, follow-up notes as needed)

Vendor & Contract Administration

  • Draft, format, and proofread client contracts, SOWS, and proposals from templates
  • Manage vendor and subscription accounts, including renewals and basic correspondence
  • Handle vendor and client set-up and onboarding

Light Bookkeeping

·      Process and track client invoices and accounts receivable

·      Code and track business expenses; reconcile monthly statements

·      Support basic bookkeeping in QuickBooks and coordinate with outside accountant as needed

·      Assist with expense reporting in line with company policy

General Administrative Support

·      Provide ad hoc administrative support for special projects as they arise

Qualifications:

  • 2+ years of administrative, office management, or bookkeeping experience
  • Familiarity with QuickBooks and basic bookkeeping principles
  • Strong written communication skills and high attention to detail
  • Comfortable working independently and managing competing priorities with minimal supervision
  • Proficiency with Google Workspace and Microsoft Office; Canva a plus
  • Experience supporting a small business, consultancy, or agency a plus
  • Discretion in handling confidential client and financial information
