Duties
- Answer multi-line phone systems promptly, directing calls efficiently and courteously
- Perform data entry, filing, and maintain organized records using digital tools like Microsoft Office
- Handle clerical tasks such as proofreading documents, managing correspondence, and supporting bookkeeping activities using QuickBooks
- Support office management by maintaining supplies inventory, organizing files, and ensuring the workspace is tidy and functional
- Provide excellent customer service by addressing inquiries in person or via phone/email with proper phone etiquette and support skills
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks for bookkeeping and financial record-keeping
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly valued to assist diverse clients and team members
- Proven clerical experience including data entry, filing, proofreading, and document management
- Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support
- Strong time management skills to prioritize tasks efficiently while maintaining attention to detail
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized office environments
