Position Overview
The Contractor shall provide routine maintenance, sports turf management, facility upkeep, and event support services for NYSA sports complexes, athletic fields, parks, and associated facilities. Duties include mowing, landscaping, irrigation maintenance, sports field preparation, equipment maintenance, and general facility support to ensure safe, functional, and tournament-ready conditions year-round.
The Contractor shall also support the setup, operation, and breakdown of tournaments, community events, practices, games, and special events as required. Due to the nature of youth sports operations, evening, weekend, holiday, and emergency weather-response work may be required.
Compensation
Contractor shall be compensated at a rate of Nine Hundred Dollars ($900.00) per week, based on a standard forty (40) hour work week. Payment shall be made weekly upon submission and approval of worklogs and invoices in accordance with NYSA procedures.
Additional hours, emergency callouts, tournament support, or approved overtime work outside the standard scope may be compensated separately upon prior written approval by NYSA.
Term of Agreement
This Agreement shall remain in effect for an initial term of three (3) years, with the option for NYSA to renew the Agreement for up to two (2) additional one-year option periods upon mutual agreement of both parties.
Qualifications
To successfully perform the duties under this Agreement, the Contractor must possess the knowledge, skills, abilities, and qualifications necessary to maintain athletic facilities and sports turf to a professional standard.
Required Knowledge

Minimum Requirements
- High school diploma or GED preferred
- Minimum of one (1) year experience in landscape maintenance, sports turf maintenance, facility maintenance, or related work experience
- Valid Florida Driver License maintained throughout the term of the Agreement
- Ability to successfully pass a criminal background check
Scope of Services
Sports Turf & Grounds Maintenance
The Contractor shall:
- Maintain sports fields, turf, parks, trails, and landscaped areas through mowing, edging, trimming, fertilization, weed control, and pruning
- Maintain athletic fields to safe and playable conditions
- Repair and maintain infields, warning tracks, bullpens, mound areas, home plate areas, and sports courts
- Monitor and repair high-traffic turf areas
- Perform aeration, overseeding, topdressing, and turf recovery activities as necessary
- Maintain hardscape areas, sidewalks, dugouts, bleachers, parking lots, and common areas
Irrigation Maintenance
The Contractor shall:
- Inspect irrigation systems routinely
- Repair sprinkler heads, valves, lines, timers, and related components
- Adjust watering schedules based on seasonal conditions and turf requirements
- Monitor irrigation efficiency and turf stress
Facility Maintenance
The Contractor shall:
- Perform minor plumbing and electrical repairs
- Maintain restrooms, dugouts, cages, benches, bleachers, nets, safety screens, and related facilities
- Perform general housekeeping and cleanup duties throughout NYSA properties
Equipment Maintenance
The Contractor shall:
- Maintain and service mowers, edgers, utility vehicles, field drags, chalkers, and related maintenance equipment
- Inspect equipment for safety and operational readiness
- Maintain maintenance logs and repair documentation
- Coordinate outsourced repairs when necessary
Event & Tournament Support
The Contractor shal:
- Support practices, games, tournaments, and community events
- Assist with field setup, breakdown, signage, and operational support
- Support sports tourism activities and special events hosted by NYSA
Work Schedule Requirements
This position is based on a standard forty (40) hour work week, generally Monday through Friday. However, due to the operational needs of youth sports programming, the Contractor may be required to work evenings, weekends, holidays, and extended hours for:
- Tournaments
- Practices and games
- Weather-related field recovery
- Special events
- Emergency maintenance situations
Tool & Equipment Inventory Management
The Contractor shall maintain an accurate inventory and accountability system for all NYSA-owned tools, equipment, maintenance supplies, athletic field equipment, and operational assets utilized in the performance of services under this Agreement.
Responsibilities shall include:
- Maintaining an updated inventory log of all tools, equipment, and maintenance assets
- Tracking equipment condition, maintenance history, and repair status
- Documenting equipment assignments, usage, and storage locations
- Conducting routine inventory inspections and audits
- Immediately reporting lost, stolen, damaged, or unsafe equipment to NYSA
- Recommending replacement or repair of damaged, obsolete, or unsafe equipment
- Ensuring all tools and equipment are properly secured, stored, cleaned, and maintained after use
- Maintaining inventory levels of operational supplies including fuel, irrigation parts, field paint, fertilizers, herbicides, pesticides, safety equipment, and maintenance materials
The Contractor shall provide inventory reports to NYSA upon request and assist in annual budget planning related to equipment replacement, maintenance, and capital improvement needs.
Equipment Maintenance Schedule
Daily
- Inspect mowing, edging, and field maintenance equipment before and after use
- Check oil, fuel, hydraulic fluids, and tire pressure
- Clean equipment and remove debris buildup
- Document maintenance and repairs in equipment logs
Weekly
- Sharpen mower blades and inspect belts
- Inspect irrigation pumps, hoses, and spray heads
- Inspect trailers, utility vehicles, and attachments
- Verify operation of safety guards and emergency shutoff systems
Monthly
- Perform preventative maintenance on turf equipment
- Replace worn or damaged parts
- Inspect lighting equipment, field drags, and chalking equipment
- Inventory tools, fuel, and maintenance supplies
Seasonal
- Coordinate major servicing prior to peak sports seasons
- Winterize equipment and irrigation systems
- Conduct seasonal turf evaluations and repairs
- Coordinate outsourced repairs and specialty maintenance as necessary
Sports Turf & Grass Cutting Schedule
Peak Growing Season (April – October)
- Mow athletic fields two (2) to three (3) times per week or as necessary
- Maintain sport-specific mowing heights consistent with professional sports turf standards
- Monitor irrigation coverage, turf stress, and disease pressure
- Repair worn turf and high-traffic areas weekly
Moderate Growing Season (March & November)
- Mow fields one (1) to two (2) times weekly as required
- Perform edging, trimming, weed control, and aeration
- Adjust irrigation schedules according to weather conditions
Dormant / Slow Growth Season (December – February)
- Mow fields every two (2) to three (3) weeks as necessary
- Conduct preventative equipment maintenance
- Perform topdressing, field repairs, and offseason turf management activities
All turf management activities shall follow manufacturer recommendations, safety requirements, and recognized sports turf management best practices to maintain safe and tournament-ready playing surfaces.
Budget Responsibilities
The Contractor shall assist NYSA in developing and maintaining an annual maintenance and operational budget, including projected costs for:
- Equipment maintenance and replacement
- Irrigation repairs
- Fertilization and turf treatments
- Fuel and supplies
- Landscaping materials
- Facility repairs
Licensing Requirements
The Contractor shall obtain and maintain all licenses and certifications required by the State of Florida for the commercial application of herbicides, pesticides, insecticides, fertilizers, and related turf management chemicals used in the maintenance of athletic fields, landscaped areas, and sports facilities.
At a minimum, the Contractor must:
- Obtain the appropriate Florida commercial pesticide and/or herbicide applicator license(s) as required by the Florida Department of Agriculture and Consumer Services (FDACS)
- Follow all federal, state, and local regulations regarding the storage, handling, mixing, application, and disposal of chemicals
- Maintain accurate chemical application records and Safety Data Sheets (SDS)
- Utilize all products in accordance with manufacturer labeling requirements and safety standards
- Maintain continuing education requirements necessary to keep licenses active and in good standing
If the required licensing is not held at the commencement of the Agreement, Contractor shall obtain the required licensing within 6 months of signed contract agreement. Failure to obtain and maintain the required licensing may constitute grounds for termination of the Agreement.
Insurance Requirements
General Liability Insurance
Contractor shall maintain a minimum of $100,000 in General Liability Insurance coverage throughout the duration of this Agreement.
Workers’ Compensation Insurance
Contractor shall maintain active Workers’ Compensation Insurance coverage in compliance with Florida law.
Proof of Insurance
Certificates of Insurance must be provided to NYSA prior to commencement of work and maintained throughout the term of the Agreement.
Termination Without Cause
Either party may terminate this Agreement, without cause or justification, upon thirty (30) days written notice to the other party. The parties expressly agree that no proof of fault, breach, or failure to perform shall be necessary to exercise this termination right.
General Provisions
The Contractor shall perform all services in a safe, professional, and workmanlike manner consistent with industry standards and all applicable local, state, and federal laws, regulations, and safety requirements.
NYSA reserves the right to modify operational priorities, maintenance schedules, and service expectations as necessary to support organizational needs, field conditions, weather events, tournaments, and community programming.
Pay: $20.00 – $25.00 per hour
