Scalera Consulting Group, Inc. (SCG) is a boutique drug safety and pharmacovigilance medical consulting firm based in Cambridge, MA. We partner with small to mid-size biotechnology and pharmaceutical companies to provide specialized safety expertise across the full product lifecycle — from early clinical development through post-market surveillance. Our team of physician and safety scientist consultants integrate within client organizations, delivering hands-on safety oversight, regulatory compliance support, and medical leadership for investigational and marketed products across therapeutic areas.

About the Role

We are seeking an experienced Senior Manager, Business Operations to join our growing team at Scalera Consulting Group. In this role, you will serve as the operational backbone of a fast-paced, client-service environment — overseeing day-to-day business operations, financial management, contracting, recruiting, and HR functions. Key Responsibilities

Business Operations & Administration

  • Oversee day-to-day business operations and ensure smooth functioning of internal systems, processes, and workflows
  • Develop, implement, and maintain processes for business operations, administrative processes, and client management
  • Review and manage staff contracts
  • Coordinate scheduling and logistics for leadership and staff
  • Maintain and organize company records, document management systems, and filing infrastructure
  • Serve as the primary point of contact for general operational inquiries
  • Manage the firm’s LinkedIn and social media presence, including drafting and scheduling posts and maintaining a consistent brand voice
  • Develop and maintain a content calendar aligned with firm news, recruiting initiatives, and thought leadership

Client Contracting & Relationship Management

  • Draft, review, and manage client-facing materials such as capabilities decks and company information sheets
  • Review and manage client contracts including Master Service Agreements (MSAs), Statements of Work (SOWs), change orders, and non-disclosure agreements (NDAs) in coordination with the Managing Director
  • Track client and consulting staff contract milestones, deliverable deadlines, renewal dates, and scope changes; proactively communicate updates to relevant stakeholders
  • Serve as an operational liaison between the Managing Director and consulting staff, facilitating clear communication on project scoping, resourcing, and billing matters
  • Maintain a central contract repository and ensure all executed agreements are current, accessible, and properly version-controlled
  • Support proposal development and client onboarding processes including resource allocation planning

Financial & Payroll Management

  • Oversee accounts receivable and accounts payable functions, including client invoicing, payment tracking, and staff payment processing
  • Prepare reports on project budgets and resource utilization rates
  • Support annual budgeting and forecasting processes
  • Maintain accurate financial records and coordinate with external CPA firm as needed
  • Administer payroll processing using payroll software (e.g., Gusto, ADP, Paychex)
  • Maintain compliance with federal, state, and local payroll regulations
  • Manage onboarding and offboarding payroll actions including new hire setup
  • Research and evaluate systems for time tracking, benefits administration, financial management, and payroll as needed

Recruiting & Talent Acquisition

  • Lead recruiting for consulting roles, including job description development, posting, candidate sourcing, screening, and interview coordination
  • Partner with leadership to forecast staffing needs based on client pipeline and project demands
  • Coordinate and facilitate new hire onboarding including equipment setup, system access, and orientation

Human Resources & Staff Support

  • Research and advance solutions for business incorporation (e.g., PEO) and employee benefits in coordination with the Managing Director
  • Maintain accurate employee records and HR documentation in compliance with applicable regulations
  • Support performance review cycles and compensation benchmarking
  • Foster a positive organizational culture and serve as a trusted resource for staff on operational and HR matters
  • Ensure compliance with employment law, company policy, and applicable regulations

Qualifications

Required

  • Degree or certification in Business Administration, Finance, Operations Management, or a related field
  • Minimum 5–7 years of progressive experience in business operations, office management, or a similar role, preferably within a professional services, life sciences, or consulting environment
  • Demonstrated experience managing contracts and supporting staff management
  • Hands-on experience with payroll processing and HR administration
  • Proficiency in financial management including invoicing, accounts receivable/payable, and budget monitoring
  • Experience supporting or leading recruiting processes
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity payroll platforms and accounting software
  • Exceptional organizational skills with a high degree of attention to detail and the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills with demonstrated ability to interface professionally with clients and staff at all levels
  • Proven ability to work independently and manage multiple priorities in a consulting or remote environment

Preferred

  • Experience in a life sciences consulting environment
  • Familiarity with biotechnology or pharmaceutical industry contracting norms
  • Experience scaling small business organizations
