We are looking for someone who can step into a high-volume environment and contribute immediately without full training.

About the Role

This position serves as a Claims Administrative / New Case Expeditor, responsible for ensuring new personal injury cases are properly set up, documented, and ready for progression.

You will act as a central point of coordination between intake, case managers, medical providers, and insurance carriers. The role requires strong organization, urgency, and consistent follow-through.

This is a high-volume, fast-paced position.

We are looking for a candidate who:

  • Can manage 50–100+ active files simultaneously
  • Works independently without constant supervision
  • Understands personal injury workflows from intake through claim setup
  • Is proactive with follow-ups and case movement
  • Maintains organization and accuracy under pressure

This role is not suited for candidates seeking a slower-paced or heavily guided position.

Role Objectives

  • Facilitate efficient intake and onboarding of new personal injury cases
  • Ensure timely communication between clients, providers, and attorneys
  • Open claims and send all required time-sensitive correspondence
  • Identify missing information and follow up promptly
  • Ensure files are complete, compliant, and ready for handoff to legal staff

Key Responsibilities

Intake and Client Coordination

  • Conduct initial and secondary client interviews to gather complete case details
  • Follow up with clients to obtain missing or incomplete information
  • Confirm attorney consultations are scheduled or completed
  • Maintain accurate and detailed case notes

Claims and Case Setup

  • Open and manage PIP, bodily injury, MedPay, UM/UIM, and related claims
  • Verify insurance coverage and document appropriately
  • Send Letters of Representation and required notifications
  • Request accident reports, including OPRA requests where applicable

Documentation and Case Readiness

  • Send and track medical authorizations (HIPAA), employment verification, and other required documents
  • Collect and organize declaration pages, property damage documentation, and supporting evidence
  • Upload and maintain all documentation in Neos or equivalent system
  • Ensure file completeness prior to attorney review and handoff

Provider and Case Coordination

  • Confirm initial medical treatment scheduling and status
  • Communicate with providers regarding treatment and records
  • Notify appropriate team members regarding liens (Medicaid, Medicare, ERISA)
  • Assist in coordinating investigators when necessary

Communication and Follow-Up

  • Communicate with clients, insurance carriers, and providers
  • Confirm receipt of all correspondence
  • Maintain follow-up systems to ensure timely case progression

Administrative Support

  • Assist intake and reception departments as needed
  • Process invoices and internal requests
  • Support pre-litigation workflow as required

Qualifications (Required)

  • Minimum 1 year of experience in a personal injury law firm or insurance claims role
  • Strong understanding of:
  • Personal injury intake and claims process
  • New Jersey No-Fault (PIP) procedures
  • Insurance communication and documentation
  • Ability to manage a high-volume caseload independently
  • Strong attention to detail and organizational skills

Preferred Qualifications

  • Experience using Neos or similar case management software
  • Experience in a high-volume personal injury environment
  • Bilingual (Spanish)
