Position Summary

We are seeking an experienced, highly organized, and results-driven Practice Manager to oversee the daily operations of a busy outpatient healthcare clinic. Reporting directly to the Operations Manager, the Practice Manager will be responsible for leading clinic operations, supporting providers, ensuring exceptional patient experiences and encouraging a positive company culture.

Key Responsibilities:

Clinic Operations Management

  • Oversee all day-to-day clinic operations to ensure efficient workflow and patient throughput.
  • Ensure smooth coordination between front office, clinical staff, providers, and administrative functions.
  • Monitor clinic schedules and staffing to optimize productivity and patient access.
  • Identify operational bottlenecks and implement solutions to improve efficiency.
  • Maintain a professional, patient-centered environment throughout the clinic.

Team Leadership & Staff Management

  • Lead, coach, and develop staff.
  • Conduct regular team meetings and communicate organizational goals, initiatives, and expectations.
  • Manage employee performance, accountability, attendance, and productivity.
  • Participate in recruiting, onboarding, training, and retention efforts.
  • Foster a culture of teamwork, professionalism, and continuous improvement.
  • Address employee concerns and performance issues in a timely and professional manner.

Provider Support

  • Partner closely with providers to ensure efficient clinical operations.
  • Assist with schedule optimization and provider productivity initiatives.
  • Address operational concerns impacting provider workflow and patient care.
  • Support implementation of new clinical programs, workflows, and operational initiatives.

Patient Experience

  • Ensure delivery of exceptional patient service and satisfaction.
  • Monitor patient feedback and identify opportunities for improvement.
  • Resolve patient concerns and escalated service issues professionally and promptly.
  • Implement processes that improve patient access, communication, and overall experience.

Revenue Cycle & Financial Performance

  • Monitor clinic performance metrics including:
  • Patient volume
  • Provider productivity
  • Schedule utilization
  • No-show rates
  • Patient satisfaction
  • Revenue and collections performance
  • Collaborate with billing and administrative teams to resolve operational issues impacting reimbursement.
  • Identify opportunities to improve financial performance while maintaining high-quality patient care.

Compliance & Quality Assurance

  • Ensure compliance with company policies, healthcare regulations, HIPAA requirements, and accreditation standards.
  • Maintain readiness for audits and inspections.
  • Support quality improvement initiatives and performance monitoring programs.
  • Ensure accurate documentation and adherence to established workflows.

Process Improvement

  • Analyze clinic operations and recommend workflow improvements.
  • Implement best practices to increase efficiency, reduce delays, and improve outcomes.
  • Utilize data and performance metrics to drive operational decision-making.
  • Support organizational growth initiatives and special projects as assigned.

Inventory & Facility Oversight

  • Monitor clinic supplies and inventory levels.
  • Coordinate ordering and vendor relationships as needed.
  • Ensure clinic facilities remain clean, safe, organized, and fully operational.
  • Address facility issues promptly and coordinate repairs when necessary.

Qualifications Required

  • Bachelor’s degree in Healthcare Administration, Business Administration, Management, or related field; equivalent experience may be considered.
  • Minimum 5 years of healthcare practice management, clinic management, or healthcare operations leadership experience.
  • Strong understanding of healthcare operations, scheduling, patient flow, and revenue cycle processes.
  • Excellent leadership, communication, and conflict-resolution skills.
  • Strong organizational and problem-solving abilities.

Preferred

  • Multi-provider practice management experience.
  • Neurology and/or personal injury experience.
  • Epic and/or Athena experience.

Pay: $65,000.00 – $90,000.00 per year
