The Customer Service Representative will manage the day-to-day communication and coordination of shipments, order entries, and tracking. You will ensure that customer orders are processed flawlessly from our Toughkenamon facility to their final destination, providing real-time visibility and solving logistical puzzles with speed and professionalism.

Key Responsibilities

  • Order Management: Accurately enter, update, and process high-volume customer orders into our internal supply chain management systems.
  • Client & Carrier Relations: Serve as the main point of contact for clients and drivers, answering questions via phone and email ) regarding order status, delivery windows, and shipment adjustments.
  • Shipment Tracking: Utilize advanced tracking systems to monitor shipments in real-time, proactively identifying potential delays (especially regarding temperature-sensitive and perishable freight).
  • Cross-Department Collaboration: Work hand-in-hand with our local warehousing and dispatch teams to ensure correct loading, inventory counts, and on-time departures.
  • Issue Resolution: Swiftly handle delivery discrepancies, missed windows, or shipping errors by offering efficient, professional solutions to minimize product loss and maintain high client satisfaction.
  • Documentation: Manage and organize critical shipping documentation, including Bills of Lading (BOL), delivery receipts, and carrier paperwork.

Qualifications & Skills

  • Experience: 1–3 years of experience in customer service, account management, or administrative support. Prior experience in third-party logistics (3PL), trucking, freight brokerage, or cold-chain distribution is highly preferred.
  • Communication: Exceptional verbal and written communication skills with a calm, professional phone presence.
  • Tech-Savvy: Proficiency with logistics software, Transportation Management Systems (TMS), Warehouse Management Systems (WMS), and Microsoft Office (Excel, Outlook).
  • Problem-Solving: Ability to think on your feet, multitask in a fast-paced environment, and handle urgent, time-sensitive delivery situations.
  • Localization: Reliable transportation to our Toughkenamon, PA office.
